Importing Disbursement Itemizations

In Campaign Deputy, to 'itemize' a transaction refers to detailing individual transactions that comprise a single transaction. For campaign compliance, this includes payroll, credit card payments, or reimbursements. The most common application of itemizations is in our FEC reports, which link and memo the itemizations to the original expenditure record.

Importing Disbursement Itemizations

To import itemizations, you must prepare your import file in a specific format with additional columns and rows.

You will need the following columns for the main Disbursement:

  • Person or Organization details

  • Disbursement Amount

  • Disbursement Date

  • Disbursement Code

  • Disbursement Purpose

  • Disbursement Unique ID

You will need the following columns for the consecutive Disbursements. (The Parent ID must be a different column than the Unique ID):

  • Person or Organization details

  • Disbursement Amount

  • Disbursement Date

  • Disbursement Code

  • Disbursement Purpose

  • Disbursement Parent ID -> matching to the original Unique ID

FAQs

You must create your own Unique ID values in the import. These values need to be unique across your Campaign Deputy account. We recommend using a pattern such as "CapitalOne20231231" to identify a single disbursement in the system.

If Campaign Deputy cannot find the Unique ID, and the Parent ID is not empty, the system will log an error for that transaction and not import it.

Campaign Deputy supports importing multiple itemization records as part of the import.

After importing, you will get an email with the results. You can also individually click View Logs on each row to see more about the details of the import.
