List Types and Uses

Edited

The Lists section is your central hub for organizing contacts into targeted groups. Lists power many of Campaign Deputy's core workflows — from call time sessions to email outreach — so understanding the different list types will help you get the most out of the platform.

You can access your lists from the left-hand navigation menu under Lists. The main view shows all your lists alongside the date each was created and it’s type.

List Types

Campaign Deputy supports five types of lists, each suited to a different purpose:

Call Sheet — This is the ONLY list type you can use in our Call Time Manager. Call Sheet lists display key call metrics on the detail page, including total contacts, how many have phone numbers on file, how many have been called at least once, the total number of calls made, and how many contacts were left a voicemail. Use this type when building a list to work through during a call time session.

List — A basic, general-purpose list with no special metrics or extra behavior. Use this when you need a simple grouping of contacts — for example, a "Do Not Call" list or a set of early voters — without any call or email tracking.

Email List — Designed for email outreach. Email List detail pages display unique email counts, open rates, and click rates, so you can track engagement across your messaging campaigns. Use this type when building an audience for an Email Campaign.

Segment — A dynamic, auto-updating list. Unlike other list types, Segments are defined by filter criteria (such as total giving amount, giving cycle, geography, or other contact data), and they automatically stay current as your contact database changes. You can build Segments using AND/OR logic with multiple filter conditions. Segments are ideal when you want a live audience that reflects your data at any given moment, rather than a static snapshot. You can also create a Segment by importing a file or running a Universe Search. *Please note that Segments cannot REMOVE contacts from a list. It is possible the best place to build your segment is within an email campaign rather than the Lists page.

Private List — A list visible only to the individual user who created it. Private lists are useful for Call Time Managers who want to maintain their own personal call sheets without sharing them with the broader campaign. Note that Private lists cannot be used in Message Campaigns.

Tips

• Naming conventions: Many teams name Call Sheet lists by date (e.g., "Calls for 5.14.2026") to keep session history organized and easy to find. We recommend using consistent naming conventions that make Lists easy to digest.

• Segments vs. static lists: If you need a list that stays current automatically — like "all donors who gave $200+ this cycle" — use a Segment. If you want to lock in a specific group at a point in time, use a standard List, Call Sheet, or Email List.

• Private lists for call time staff: If you have multiple Call Time Managers working independently, Private lists allow each person to maintain their own call queue without affecting shared lists.
