Importing Disbursements
Easily bring your disbursement data into Campaign Deputy by following the steps below. This article covers where to find the import tool, how to prepare your file, required fields and formatting rules, and troubleshooting tips.
1. Overview
The Disbursements Import tool lets you bulk-upload reimbursements, vendor payments, or any out-of-pocket expenses directly into your Campaign Deputy account. This helps you:

2. Preparing Your File
The import tool accepts CSV, XLS, XLSX files. Before uploading, ensure your file meets these formatting requirements:
Separate Required Columns:
Person First Name
Person Last Name
Organization Name
Date
Amount
Disbursement Code
Required Columns:
Date
Amount
Disbursement Code
Date Format: Use a full four-digit year (e.g., 06/30/2025).
Organization vs. Person: Organization Name must be in its own column, not combined with first or last name.

4. Finding Your Disbursement Codes
To view or verify your available disbursement codes:
In the right-hand menu, go to Actions → Disbursement Codes.
You will receive an excel file with a list of your Disbursement Codes for your account. These are different for each account.
Keep this list handy when preparing your file to ensure you use valid codes.
5. Importing Your File
On the People → Import page, Click Import, click Choose File.
Select your prepared file.
Click Import.
Campaign Deputy will validate your file:
Missing required columns
Incorrect date formats
Invalid disbursement codes
If validation passes, you’ll see a preview of the first few rows. Review for accuracy, then click Confirm Import.
6. Post-Import Review
Success Message: A summary of imported rows and any skipped entries.
Error Log: If any rows failed, download the error log to see which lines need correction.
8. Troubleshooting
Issue | Solution |
