Getting Started with Call Time Manager
Call Time Manager is Campaign Deputy's dedicated tool for managing fundraising phone calls. It helps your team organize call lists, track conversations with donors, record pledges, send follow-ups, and measure performance — all in one place.
This article introduces the key concepts and walks you through the Dashboard so you can get started quickly.

Build your call sheets in Universe Search
Review your lists on the Call Time Manager Dashboard.
Open a Call Sheet to see the contacts in a list and their details.
Start a calling session to enter the full-screen Calling Interface.
Record results for each call, pledges, notes, follow-ups, and callbacks.

Key Concepts
Before you dive in, here are the terms you will see throughout Call Time Manager:
Term | What It Means |
Call Sheet | A list of contacts assigned to Call Time. Created from Universe Search. These are the only list available in the Call Time Manager. |
ATG (Ask to Give) | The dollar amount you plan to ask a donor to contribute personally. |
ATR (Ask to Raise) | The dollar amount you plan to ask a donor to raise from others. |
PTG (Pledge to Give) | The amount a donor actually commits to give during a call. |
PTR (Pledge to Raise) | The amount a donor commits to raise from others during a call. |
Session | A calling session tracks your progress as you work through a call sheet. |
Raise Goal | Your overall fundraising target, configured in Settings. |
Callback | A contact flagged for a follow-up call at a specific date and time. |
Before using Call Time Manager, make sure:
You have at least one Call Sheet created via Universe Search. If you don't see any lists on the Dashboard, create one in Universe Search using the "Create List" feature.
Your ATG and ATR amounts are set on the contacts in your list. These guide your ask during each call.
Quick-Start Checklist
If you are setting up Call Time Manager for the first time:
Confirm your call sheets appear on the Dashboard.
Go to Settings and set your Raise Goal.
Create at least one Email Template and one SMS Template. *Please note SMS messages are only available to accounts who have set up their 10DLC registration.
Choose your Dialer Preferences (how calls and texts are initiated).
Open a Call Sheet and click Start Calls to begin.
The Call Time Manager Dashboard
The Dashboard is your home base. It gives you an at-a-glance view of all your calling activity.
Stats Bar
At the top of the Dashboard, four stats summarize your overall progress:
- Call List Contacts — Total number of contacts across all your call sheets.
- Calls Made — Total calls recorded in the system.
- Total Raised — Sum of all contributions made from all contacts on Call Sheets.
- Raise Goal — Your fundraising target (set in Settings). Blank if not yet configured.
Callbacks
If any contacts have been flagged for a callback, a Call Backs section appears below the stats bar. Each entry shows the list name and raised amount. Click a callback list to open its Call Sheet and see which contacts need follow-up.
Recommended Calls
Below callbacks, you may see a Recommended Calls section (collapsed by default). Click the chevron to expand it and see system-suggested call lists. Click any list name to open it.
Call Sheets Table
The main section of the Dashboard lists all your call sheets. For each list, you can see:
- List name — Click to open the Call Sheet Detail page.
- Raised amount — Total raised from that specific Call Sheet.
- Progress ring — A small circular indicator showing progress toward the list's raise goal based on Asks to Give.
Use the search bar at the top of the table to quickly find a specific list by name. A list must be of type "Call Sheet" to show here.
Accessing Settings
Click the Settings gear icon in the top-right corner of the Dashboard to manage templates, your raise goal, and dialer preferences.
Tips
- Check the Dashboard at the start of each day to see which callbacks are due and which lists need attention.
- If a list does not appear on the Dashboard, it is not a list of type Call Sheet. You can use the Universe Search search to create a new list from another list if needed.
- Coordinate with your finance director on ATG/ATR amounts before launching a calling campaign so every caller has clear ask targets.
- Set up your templates and dialer preferences once — they carry over to every session and save time during calls.
